This Privacy Policy describes how Singular BI, LLC (“Company”, “we”, “us”, or “our”) collects, uses, and protects information in connection with the Label Logic service and the website located at https://besmartai.co (collectively, the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
We collect the following categories of information when you use Label Logic:
1.1 Information You Provide to Us
Account and contact information – such as your name, email address, and any other information you provide when you contact us for support or feedback.
Configuration data – such as label rules you create, preferences related to archiving, and other settings within Label Logic.
1.2 Information We Receive from Google (Gmail Data)
When you connect your Google account to Label Logic, we access certain data from your Gmail account using the Gmail API, including:
Email metadata – sender, recipients, subject line, message ID, thread ID, labels, timestamps.
Email content – the text/body of messages and snippets, to classify and apply labels according to your rules and AI suggestions.
Label information – the list of labels, label IDs, unread counts, and we may create new labels on your behalf.
We use the following Gmail scopes (or their equivalents):

We access this data solely for the purpose of providing the Label Logic functionality (automatic labeling, archiving, rule creation, and analytics related to your labeling behavior).
1.3 Data We Store
To operate the Service, we may store:
OAuth tokens and refresh tokens needed to securely access your Gmail account on your behalf.
Rule definitions you create (e.g., label name, matching criteria, active status).
Label/application history – records of which messages were labeled/archived by rules or by AI (typically including Gmail message ID, thread ID, sender, subject, short snippet, applied label, time of action, and whether it was AI- or rule-driven).
Derived statistics about how often certain labels are used or rules are triggered.
We aim to store only the minimum amount of email content necessary to provide and improve the Service. We do not store full mailbox backups.
1.4 Information from Third Parties (AI Providers)
To offer AI-based label suggestions, we may send limited portions of your email content (such as subject line and partial body text) to trusted third-party AI providers (such as OpenAI) as processors on our behalf. We only send this data as needed to generate a label suggestion and handle it according to their applicable data use policies.
2. How We Use Your Information
We use the information we collect for the following purposes:
To provide the core Service – automatically label, archive, and mark emails as read/unread according to your configuration and AI suggestions.
To learn rules and improve automation – for example, by observing labels you apply yourself and suggesting new rules or label patterns for your account.
To maintain and improve the Service – including monitoring performance, debugging issues, and developing new features.
To communicate with you – for support, updates, and important notices related to the Service.
To comply with legal obligations – and to protect our rights and the rights of our users.
3. How We Share Your Information
We do not sell your personal information or your Gmail data.
We may share information in the following limited circumstances:
Service providers and processors – such as hosting providers, database providers, error monitoring tools, and AI providers (e.g., OpenAI) that process data on our behalf and under appropriate confidentiality and data protection obligations.
Legal requirements – when required by law, regulation, court order, or governmental request, or to protect our rights, property, or safety, or that of others.
Business transfers – in connection with a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
We do not:
use Gmail data to target ads,
allow any third party to read your Gmail data for their own purposes, or
combine Gmail data with data from other users or services for unrelated advertising or profiling.
4. Google API Services User Data Policy
Label Logic’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This means we only use Gmail data to provide or improve the features of Label Logic, we do not transfer Gmail data to third parties except as necessary to provide the Service, and we do not sell Gmail data.
5. Data Retention
We retain your information for as long as necessary to:
Provide the Service to you;
Maintain your rules and historical labeling records; and
Comply with our legal obligations and enforce our agreements.
If you disconnect your Gmail account or request deletion, we will take reasonable steps to delete or anonymize the data we have stored that is associated with your account, except where we are required to retain certain information (for example, for legal or accounting purposes).
6. Your Choices and Rights
6.1 Disconnecting Gmail Access
You can revoke Label Logic’s access to your Gmail account at any time:
Within your Google Account settings at:
https://myaccount.google.com/permissions, orVia any disconnect option we may provide within the Service.
Once revoked, we can no longer access your Gmail data, though we may still retain previously stored records as described above unless you request deletion.
6.2 Access, Correction, and Deletion

Request access to the personal information we hold about you;
Ask for corrections to inaccurate information; or
Request deletion of your account-related data (subject to legal obligations).
We will respond to reasonable requests within a reasonable timeframe.
7. Security
We take reasonable technical and organizational measures to protect your information, including:
Using encrypted connections (HTTPS) where appropriate;
Storing OAuth tokens securely;
Limiting internal access to data to personnel who need it to operate the Service.
However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children’s Privacy
The Service is not directed to, and we do not knowingly collect data from, children under the age of 13 (or the applicable age in your jurisdiction). If you believe a child has provided us with personal information, please contact us so we can delete it.
9. International Users
If you access the Service from outside the United States, you understand that your information may be processed in the United States and/or other countries, which may have data protection laws different from those in your jurisdiction.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top. If the changes are material, we may provide additional notice (such as on the website or via email). Your continued use of the Service after any update constitutes acceptance of the revised Privacy Policy.
